Use case: Octopus - The interface between AI content and CI-compliant corporate documents

Initial situation: AI generates content - but no finished, publishable documents

Companies are increasingly using AI-supported systems to create content efficiently . Whether market analyses, project documentation, technical descriptions, management reports or internal communication - modern AI agents deliver structured texts in a matter of seconds.

This content is usually available in Markdown format: lightweight, structured, machine-readable. However, in their raw form they are neither visually designed nor suitable for distribution or publication.

No AI system can automatically guarantee that:

  • Company specifications such as colors, logos, typography are adhered to,
  • layout logic and format templates are taken into account,
  • documents can be output barrier-free, printable or interactive,
  • different target formats can be served simultaneously.

This is where a strategic gap arises in the information and communication process of modern companies.

Challenge: From AI text to usable document

Companies do not need pure text files, but complete, valid and CI-compliant output documents. These must:

  • correspond to the corporate design,
  • be editorially reusable or archivable in a legally secure manner,
  • can be integrated into internal systems,
  • be suitable for different target groups and end devices.

Markdown alone does not meet these requirements. Even AI systems are not able to map this complexity.

Solution: Octopus as a multi-format transformation unit

Octopus takes on this task fully automatically. The system receives Markdown content as input and generates professionally prepared output from it in all relevant target formats - consistent, CI-compliant and centrally configured.

Supported formats include:

  • PDF (barrier-free, ready to print)
  • Word (editable, with style sheets)
  • HTML (responsive, web-compatible)
  • Excel (structured tables and calculations)
  • EPUB (for mobile use)
  • LBook (offline-capable, searchable)

The design is defined centrally via the OFX framework. Logos, colors, typography and layouts are stored in a configuration file and are automatically applied to all outputs.

Application example: Automating a company report

An AI agent regularly generates a monthly report as a Markdown file. This file is automatically transferred to Octopus. The result:

  • a PDF in the corporate design with table of contents and header
  • a Word document for approval by specialist departments
  • an HTML version for publication on the intranet
  • an Excel document with embedded tables
  • an EPUB edition for mobile use in the field

All versions are based on the same source file, are fully synchronized and can be reproduced at the touch of a button.

Advantages for companies

Standardization: Once a design has been defined, it applies to all formats

Time saving: No manual layout or copy & paste necessary

Accessibility: Automated generation of PDF/UA-compliant content

Scalability: Ideal for recurring content (reports, logs, instructions)

System openness: REST API connection to existing tools and workflows

Conclusion

Octopus closes the critical gap between AI-generated information and formal corporate communication. Structured texts are automatically transformed into high-quality, output-ready documents. The saves time, reduces sources of error and ensures consistent communication across all channels.

Octopus is therefore a central building block for modern, automated publication processes - regardless of industry, format or target medium.
